Facility Coordinator (m/w/d)W | Gewerbe | 14.04.2022Region: Wien Dienstort: 1100 Wien Wir suchen für unseren Kunden in 1100 Wien Facility Coordinator (m/w/d) zum ehestmöglichen Eintritt. Aufgabenbereiche:Job ticket, overall job objective: Ensure efficient office management and day to day operational/business continuity. Deliver high service level to internal and external customers. Drive overall positive office experience and wellness for stakeholders. In this position the office coordinator will be required to maintain close communication and collaboration with various stakeholders and Austrian legal governing bodies (e.g., works councils, works inspection). The incumbent will be required to have knowledge of the local Health & Safety regulations and remain updated on any changes. Close communication and reporting line to remote based Office Manager Corporate Center. Ensure that operational standards are compliant with the company policies and procedures. Ensure that instructions and regulations (laid down by HO and supervisory authorities) are complied with. First contact person for employees, guests, and vendors Receipt and dispatch of mail and courier shipments Preparation and management of the Facilities budget Invoice controlling, Purchase Order creation (SAP) Close collaboration with Finance Department Administration of Me@Work App (booking tool for workspaces) Contact person for all matters relating cleaning company and responsible for repairs in the office Responsible for compliance with Health & Safety regulations Ordering office supplies Communication to employees and stakeholders Handling process for complimentary beverages Handling of all Events -internal or Group initiatives Administration of access and parking cards Update of Intranet and other collaboration sites Collaborate with Group Facilities Team and other Group Departments Collaboration with Fleet Department in regards to coordinating services for company cars Qualifikationen und Anforderungen:Fully proficient communication skills, English & German, written & verbal Advanced Excel skills and MS Office SAP experience will be considered as an advantage High integrity and respecting company values Articulate communicator and effective listener at all layers Problem identification & solving Networking skills & confidence to communicate with Senior Management Experience: Minimum 5 years in Facility or Project Management or supervisory role of any other related field Knowledge and experience of finance processing and budget management Effective planning, coordinating and time management Information flow and sharing Ability to foresee and assess potential risks Relationship building & cooperation with key stakeholders Customer centric mindset and approachability Overall caring attitude Taking ownership of full role responsibilities Für diese Position gilt folgende Mindestentlohnung: 3.000,00 EUR pro Monat Bereitschaft zur Überbezahlung je nach Qualifikation möglich.
